This is the core of the restocking visit. Open the machine and work through the inventory systematically.
Step 6: Inventory Audit
Before loading anything, conduct a physical inventory audit:
- Check each compartment and record what is present, its condition, and its approximate age (based on your load date labels).
- Compare the physical inventory to the management platform's inventory data. Discrepancies (the platform shows a compartment as occupied but it's empty, or vice versa) should be noted and investigated.

Load fresh stock following FIFO (First In, First Out) discipline:
- Position remaining older stock at the front or most accessible position in each compartment.
- Load fresh stock behind the older stock, so older stock is purchased first.
- Do not mix different load dates in the same compartment without clear labelling.
- Confirm that each package is correctly positioned, upright (for tulips and other upright-sensitive varieties), and that the display window faces the front of the compartment.
- After loading each compartment, confirm the door closes and locks correctly.
Step 10: Update Inventory in the Management Platform
After loading, update the management platform with the new inventory:
- Record what was loaded in each compartment (SKU, quantity, load date).
- Record what was removed (SKU, quantity, reason for removal).
- Confirm that the platform's inventory data matches the physical inventory.
Phase 4: Machine Maintenance
Every restocking visit should include a brief maintenance check. Most maintenance tasks take only a few minutes but prevent issues that could cause downtime or quality problems between visits.
Step 11: Clean the Display Panel
Clean the exterior display glass with a glass cleaner and microfibre cloth. A clean, clear display panel is one of the most impactful things you can do to improve sales — customers who can't see the flowers clearly won't buy.

Wipe down the interior surfaces of the machine with a food-safe surface cleaner:
